FAQ – Hiring Student Assistants (AE)

No. The ethics act remains valid for the duration of their studies. There is no ‘legal’ period of validity.

Yes, any student registered at a Swiss university/higher education institution can be hired as an AE. If the person is not a student at EPFL, please enclose a certificate of registration from his/her university with the application. Foreign nationals must hold a valid residence permit at the time of hiring.

No. This person is in Switzerland as a tourist. They are not authorised to work.

Students are authorised to work a maximum of 15 hours per week during term time. They can work full-time (41 hours per week) during university holidays.

European Union (EU) nationals may work in Switzerland from the start of their course. If the student has not yet received their work permit, please ask them for a certificate of residence from their local authority and attach it to the application form.
On the other hand, third-country nationals (from outside the EU) who begin their training in Switzerland must wait 6 months before taking up employment. By the time they are authorised to work, they will have received their residence permit.

No. In order to comply with social security and tax rules, the student must be working from Switzerland. It is not possible to pay a student working abroad.

No. If the AE does not have a Swiss account, he/she must open one. Most banks offer young people in training accounts with no management fees. Revolut accounts are not accepted.

Yes, you can hire someone without entering the IBAN. People who work as AEs have access to Sesame / My personal space. Once their account has been opened, students will be able to add it in Sesame.

Everyone who is a Swiss citizen or has a residence permit has an AVS number. The SAC enters this information in IS-Academia. Students should be able to find it under ‘Personal details’. This is the NNSS number (number starting with 756).
You can also hire a student without entering the AVS number. HR will search for the student’s number and complete the HR data.

Individuals working as AEs have access to Sesame / My personal space. There, they can download their employment certificate.

No. This workflow is only for the recruitment of student assistants paid CHF 25/hour. Student assistants are recruited by means of a recruitment file containing a proposal for the recruitment of temporary staff, together with the compulsory annexes (ID, residence permit, certificate of studies, etc.). The file must be sent to the payroll manager of your unit/school before the start of the activity.
