After successful passing of the candidacy exam, the PhD student organizes each year a follow-up meeting with the PhD adviser (and co-adviser), and the internal expert(s) from the candidacy committee. When deemed necessary, also the president of the candidacy committee can be asked to join.
These meetings are not an exam, but should provide additional guidance for the student. The PhD student will present a research update (10-15 minutes), share future plans, and can discuss any issues that may have come up.
This annual meeting should occur before starting the Annual report submission process. The meeting should take place with all parties present.
Then proceed to start the Annual report. Should you not have received an email invitation to access it, please contact the EDCB administrator. Under point 6 of your Annual report, under “Any other specific points:” please imperatively add “I confirm that the Annual follow-up meeting with my candidacy committee has taken place on date dd.mm.yy.” With your signatures on the Annual report, you and your the thesis Director attest that this meeting has taken place.
In case of exceptional circumstances, separate meetings between the PhD student and the adviser or committee member are possible. Meetings with other professors, who were not necessarily part of the candidacy committee, are also possible.
